Speaker Guide

Presentation Deadline August 15

Completed presentation materials must be submitted to your moderator with a copy to the National Office by the deadline. Presentations that are not received by August 15, 2022 will be removed  from the conference program.

The moderator for your session will review your materials and provide feedback directly to you by August 30. Final presentations must be posted by September 9 for attendee access.


Presentation Requirements

  • Use URMIA's PowerPoint presentation template.

  • Refrain from selling or promoting a business or product in your presentation.

  • Provide sufficient information in your PowerPoint slides, notes, and handouts for non-attendees to benefit. A resources page is very helpful!

  • Adhere to all guidelines in the speaker agreement.

  • Bring a laptop to the conference with a copy of your final presentation file and handouts.


Training

Office Hours

Please plan to attend the speaker/moderator “office hours” session on September 7 at 1pm ET. For directions to join us in Zoom, see the session details.

Engage Your Audience

Speakers looking for more engagement in their session are encouraged to use Slido during presentations. See this helpful Slido guide to explore how to use this tool. Training is available at designated times. Sign up for Slido training while slots are still available.

Slido offers many tools to engage both in-person and virtual audiences. We recommend the platform especially if you have a hybrid session scheduled. Speakers who are presenting for a virtual audience should attend “AV Testing for Virtual Presenters” mentioned below.

Moderators

Call for Volunteers

We are looking for in-person and virtual attendees to serve as moderators. These volunteers will be paired with presentation teams to support the audience experience before and during the conference. Moderators will coordinate with and introduce the speakers, welcome the attendees, and help facilitate question and answer time. Sign up to be a moderator.

I'm In. Now What?

We will match you with one or more presentation teams and contact you with your session assignments. We'll add your name to the description of your sessions in the schedule. We ask you to contact speakers before the conference, as well as serve as the live support person during the session.

Speaker Obligations

Register Yourself Online

Speakers are responsible for registering for the conference. Speakers are to present live from the Indianapolis conference. If someone on your presentation team is unable to attend in person, please contact us for alternatives.

Reserve Accommodations Early

You are responsible for your own hotel reservations and travel expenses. Speakers receive no royalties, honorarium, reimbursement of expenses, or other compensation from URMIA in connection with the conference. Questions can be directed to the URMIA National Office.


Audiovisual Equipment for Indy

Bring Your Own Computer

Please bring a laptop to use during your presentation. This will ensure that your presentation's fonts and formats are maintained.

Projection & Sound Equipment Provided

Each room will have a podium, projector, screen, one wireless lavaliere microphone, one wired microphone, speakers, and a head table with two chairs. If your needs differ, you must communicate this to your assigned moderator before the conference.


AV Testing for Virtual Presenters

Presentations can be hosted in one of two platforms, depending on your preferred presentation style: ON24 (webinar style) or Zoom (roundtable discussion style). You will be required to attend a "tech check" a few weeks before the conference from the location where you will be presenting during the conference. Those sessions will take place August 15-31. Sign up to attend a tech check session.
